1. Executive Support:
- Reports to the Project Director. Manage the Project Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize materials for meetings, presentations, and events attended by the Project Director.
- Act as the primary point of contact for the Project Director, screening calls, emails, and correspondence, and responding or redirecting as appropriate.
- Draft, proofread, and edit correspondence, reports, and other documents on behalf of the Project Director.

2. Board Communication and Support:
- Facilitate communication between the Project Director and the Board of Directors.
- Assist in preparing board meeting agendas, packets, and minutes, ensuring timely distribution to board members.
- Coordinate logistics for board meetings, including scheduling, venue arrangements, and catering.
- Maintain accurate and up-to-date records of board-related documents and communications.

3. Program Knowledge and Coordination:
- Develop a strong understanding of the organization’s programs, initiatives, and community impact to effectively support the Project Director.
- Assist in preparing program-related reports, grant applications, and other documentation as needed.
- Collaborate with program staff to ensure alignment between the Executive Director’s priorities and program goals.

4. Administrative Duties:
- Maintain organized filing systems, both physical and digital, for the Project Director’s office.
- Manage office supplies, equipment, and other resources to ensure efficient operations.
- Handle confidential information with discretion and professionalism.
- Oversee the preparation of bank deposits and all administrative duties associated with budgets, bank statements and spreadsheets that interfaces with the accountant and auditor.
- Perform other administrative tasks as assigned by the Project Director.

This is a contract position funded by the HUD Healthy Homes Production Grant, with an expected duration of 3.5 years. Starting Salary is $45K - $50K based on experience.

Exigences

Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.

Experience:

Minimum of 3-5 years of experience in an administrative support role, preferably in a nonprofit or community development organization.

Skills:

- Exceptional organizational and time-management skills.

- Strong written and verbal communication abilities.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

- Ability to learn two to three Customer Relationship Management Systems (CRMS).

- Ability to multitask and prioritize tasks in a fast-paced environment.

- High level of professionalism and interpersonal skills.

- Knowledge of nonprofit operations and board governance is a plus.

Work Environment:

- This position is based in an office setting with occasional evening or weekend hours required for board meetings or special events.

- This position is funded by the BNHS Healthy Homes Production Grant and is terminated if and when the grant is terminated.
